AE Reports 2020 report pack install guide

Release date—25 June 2020 (New Zealand), 30 June 2020 (Australia)

This installation guide helps you to install Tax Reports 2020 Report Pack if you're running AE Release with Practice Manager.

Australia only: If you don't use Practice Manager, follow the install guide for AE Reports Standalone 2020.

It is important to read through this guide completely before commencing the installation as it will help you plan for all the required tasks.

Prerequisites

Before you start installing, make sure you:

  • know the name of the SQL server instance where your AE Tax database exists
  • know your administrator login ID and password
  • have the 2020 tax release installed
  • check that your computer meets the system requirements
  • download MYOB AE Tax 6.48 - Reports Pack for Practice Manager users - Installer from my.MYOB.
Installation

You will need to run this installation on the Practice Manager database server. The AE tax database should also be on that server.

  1. Double-click the downloaded .exe file.

  2. Accept the licence agreement to proceed to the Select SQL Server Instance window.

    Only local SQL server instances are displayed in this window.

  3. Select the name of the SQL server instance where your Practice Manager and SQL AE Tax database exist.

  4. Click Next. The Administrator Login window opens.

    If you select SQL Server Authentication, you must enter the administrator login details for the database server.

  5. Click Next to open the Select Practice Manager Database window. Select the Practice Manager database from the list.

  6. Click Next to open the Select AE Tax Database window. Select the AE Tax database that will provide the data for your Tax Reports.

  7. Click Next to open the Installation Summary window.

  8. Click Next to run the installation.

  9. Click Finish.

    A workstation install is not required.

Post-installation
Review the task permissions

To see the new link in the TASKS bar:

  1. Log in to Practice Manager.

  2. On the main menu select Maintenance > Security > Tasks Permissions.

  3. Select Tax from the Product drop-down.

  4. Select Security Group from the Group drop-down.

  5. On the Group Description window expand the list of Smart Reports.

  6. Edit the task permissions for the group to access these reports:

  • Tax 2020 Tax & practice management reports

  • Tax 2020 Tax reports only.

  • Repeat these steps for each group requiring access to these reports.

  • Click OK.

  • Check the list of tax reports

    To access tax reports from Practice Manager:

    • click the Reports icon or
    • click Tax2020 in the TASKS bar.

    Check that the reporting category Tax2020 in the TASKS bar offers the following reports:

    • Tax reports

      • Lodgment Report by Partner, Manager or Employee

      • Activity Statement Lodgment Report by Partner

      • Other Tax Forms Lodgment Report

      • Lodgment Summary by Partner

      • Lodgment Summary by Partner or Manager

      • Rental Income Report (ITP)

      • Rental Income Report (CF)

      • Taxable Income Report by Partner and Form Type

      • Occupation Report by Partner

      • Industry Report by Partner

      • Capital Gains Report by Partner and Form Type

      • HECS Debt Outstanding Report by Partner

      • Medicare Levy Surcharge Report by Partner

      • Motor Vehicle Expenses Report by Partner

      • Tax Level Report

      • Performance Analysis

      • Performance analysis by Partner

      • Complete and Not Lodged by Partner

      • Due and not complete by Partner

    • Tax practice management reports

      • Returns to be Invoiced by Partner

      • Assessments Mailing List by Partner

    Customised AE tax reports

    Customised AE Tax reports are not rolled from one tax year to the next. If you generated reports in 2019 and wish to use them again in 2020 you'll need to:

    • create the reports again in 2020 or

    • export the reports from 2019 and import them into 2020 with your required changes.

    These instructions are based on standard table reports. If functionality like graphs, pie charts or logos do not work after importing, edit them in the new year's report. The copied report may also require editing for fields which have become redundant in a new tax year.

    An overview of the process is:

    1. Identify if the report is portrait or landscape.

    2. Identify the ReportId for the folder where the report is destined to be imported, for example, Tax 2020.

    3. Export the report from Tax 2020.

    4. Edit the report, update the ReportId and change field names from 2019 to 2020.

    5. Import the report.

    6. Repeat this process for each customised report that you want to continue using in the new tax year.

    Example
    Identifying the ReportId

    Each report has a ReportId. This identifies the folder where the report belongs. If the ReportId of the imported file is incorrect, the report won't display.

    1. In Practice Manager, select Reports > Report Export & Import.
    2. Select Tax2020 > Tax Reports only.
    3. Select any report and click Export. The Export Report window opens.
    4. Make a note of the directory and file name and click Save. The prompt Export complete displays.
    5. Click OK.
    6. Navigate to the directory, right-click on the file and select Open.
    7. Select 'Select a program from a list of installed programs' and click OK.
    8. Select Wordpad and click OK. The report opens in Wordpad.
    9. Select Edit > Find. The Find window opens.
    10. Type ReportId and click Find Next.
      Example below:

      Note the ReportId  (in this case, ‘5147’).
    11. Close Wordpad.
    Copying a report

    Follow these steps:

    1. Backup your Practice Manager SQL database.
    2. Select ReportsTax 2019 Tax reports only > Lodgment Report by Manager.
    3. Click Edit.
      Pay attention to whether the report is MYOB - Landscape or MYOB - Portrait.
    4. Click Cancel.
    5. Select Reports > Report Export & Import.
    6. Select Tax 2019 > Tax Reports only.
    7. Select the report you want to copy and click Export. The Export Report window opens.
    8. Make a note of the directory and file name and click Save. The prompt Export complete displays.
    9. Click OK.
    10. Navigate to the directory, right-click on the file and select Open With.
    11. Select Wordpad and click OK. The report opens in Wordpad.
    12. Select Edit > Find. The Find window opens.
    13. Type ReportId and click Find Next.
    14. Edit the ReportId to the value identified at Step 10 in Identifying the ReportId section above (5147).
    15. Select Edit > Replace. The Replace window opens.
    16. Type 2019 in the Find what field.
    17. Type 2020 in the Replace with field and click Replace All.
    18. At the prompt ‘Wordpad has finished searching the document', click OK.
    19. Click Cancel to close the Replace window.
    20. Select File > Save and then close Wordpad.
    21. In Practice Manager, in the Report Export & Import tab select Tax reports only and click Import. The Import Report window opens.
    22. Select All Files.
    23. Select the edited report and click Open. The Base on Template window opens.
    24. Select the template type identified at Step 10 in Identifying the ReportId section above (10) and click OK. The Import successful prompt displays.
    25. Click OK.
    26. Select ReportsTax 2020 > Tax Reports only.
    27. Select the Lodgment Report by Manager copied from Tax 2019 which displays a last modified date of today and click Run.
    28. Confirm the report contains the correct details.
    29. Repeat all these steps for each required report.
