Adding a password to ledger item to restrict access

This support note applies to:

  • AE System Release (NZ)
  • AE System Release (AU)

If you want to restrict access to specific ledger items on your systems, apply a password to the item on your ledger list by updating the menu level security and adding the password to the ledger.

To update the menu level security to enable passwords on a ledger
  1. If you're logged in to System Release, log out.
  2. Open the Windows Start menu and go to Run. The Run window appears.
  3. In the Open field, enter x:\sol64\sr EPSETMLS ItmPw=6 and click OK.

    x is the mapped drive that has the sol64 folder.

  4. The System Services window appears with the message System MLS code updated: ItmPw=6.
  5. Click OK. Menu Level Security is updated.
To add the password to the ledger
  1. Log on to System Release as SUPERVIS or with 6* Security.
  2. Click Folders from the Administration section on the Task panel. The Folders view appears.
  3. Double-click the folder containing the ledger you want to apply the password to.
  4. Right-click the ledger you want to password protect and select Properties. The Item Properties window appears.
  5. Select the Options tab.
  6. Enter a password in the Password field of the Security section.
  7. If you want all users to enter a password to access the ledger, select Mandatory for owner.
  8. Click OK to save the changes. The next time you open this ledger, an Item gateway appears with an Enter a password field.
To identify the password
  1. Log on to System Release as SUPERVIS or with 6* Security.
  2. Right-click the ledger item and select Properties. The Item Properties window appears.
  3. Click Options.
  4. Click the information icon next to the Password field. The current password is displayed.
  5. Click OK. The Item Properties window appears.
