Adding new extra list values

This support note applies to:

  • AO Practice Manager (NZ)
  • AE Practice Manager (NZ)
  • AO Tax (NZ)

After adding a new extra list value in the AO/AE Maintenance Map and then adding the value to a client, you may see one of the following errors:

UIHelperClasses
An error occurred in the trigger / stored procedure
'AfAo_sp_DoUdfUpdate' on line 310.
Error Number: 50000
Error Message: The contact with the AoContactIdentifier
'XXXX_XXX' does not exist in the database 'AoSource_AODB1.

Where XXXX_XXX represents a client code.

or

You cannot add a value to this list when AO is integrated with AO Classic

To resolve these errors, make the following changes on the server:

  • Disable the AO Classic integration
  • Add the new extra list value in AO Classic
  • Enable AO Classic integration

 

To add a new list value to an extra list converted from AO Classic
  1. Exit all users from both MYOB AO/AE and AO Classic.

  2. In MYOB AO/AE, follow the menu path Maintenance > Maintenance Map. Select AO Classic Settings from the Task Bar.

  3. Click Edit AO Classic settings. The Edit AO Classic details tab opens.

  4. Select Do not integrate with AO Classic and click OK. Click Close.

  5. Go to Maintenance > Maintenance Map > Extra Lists.

  6. Click the [+] to expand the list for the relevant Extra List item. Enter the new list value into the blank row and click OK.

  7. Close MYOB AO/AE and open AO Classic.

  8. In AO Classic, select Tools > Options > UDF's. Select the user defined fields to which the new value is to be added.

  9. Click Set up User Defined Lists. The Add or Edit User Defined Lists screen opens.

  10. Press F4 to add a new list item and key in the detail. Click OK to save the changes and click OK to close the UDF's tab.

  11. A message appears 'Updating the User Defined Fields requires that no other users are using MYOB Accountants Office.  Please make sure that all users (including yourself) are out of all modules.  Click OK when you are ready to proceed, or Cancel to exit.' Click OK.

  12. Close AO Classic and open MYOB AO/AE.

  13. In MYOB AO/AE, follow the menu path Maintenance > Maintenance Map. Select AO Classic Settings from the Task Bar.

  14. Click Edit AO Classic settings. The Edit AO Classic details tab opens.

  15. Select Integrate with AO Classic and click OK. Click Close.

Updating the Extra List value in MYOB AO/AE now updates the UDF value in AO Classic.

Extra List or Extra Fields added to MYOB AO are not integrated to AO Classic.  The integration is valid only for UDF's migrated from AO Classic.
