Changing share transaction details in Corporate Compliance

This article explains how to make corrections to share transactions already entered in Corporate Compliance.

Some details of the following share transaction types can be changed from the Members tab (from Corporate Compliance Release 1.1):

  • Transfers
  • Transactions converted from CSS where the date of issue in the Members screen does not match the issue date in the Capital screen.

Where the shareholder details have been incorrectly entered, there are various ways you can correct the details, depending on the type of the share transaction.

For shares that have been entered using the Add Share Issue task, you can use the Change Share Issue task to make any corrections to the issue amount or shareholders.

  • Click on the Issue Details tab to correct the Number of shares issues, amounts paid and unpaid, and non-cash details.
  • Click on the Allotment Details tab to correct details of each shareholder including number held, certificate number, distinctive numbers, beneficial owner, and joint owners.

Where the share transaction has been transferred there are some additional changes that can be made to the transaction. If the required changes cannot be made, then you will need to reverse the transfer, and re-process it correctly.


Changing share transfer details

From the Corporation Members tab, select the share transaction, and select the task Change transaction details. The Change Share Transfer Details dialog opens. In this window you can change the

  • Date of transfer
  • Amount paid for the transfer

If the details to be corrected are for the certificate number, distinctive numbers, beneficial owner or joint owners, then use the Change Share Issue task as described above. This transaction will be available against the issue date shown in the "Details of the original issue".

Reversing a share transfer

If the share has been transferred to the incorrect new member, or the incorrect number of shares has been transferred, then you will need to delete the transfer transaction, and re-process it.

To revert the transfer transaction, select the transaction, and select the task Delete share transaction. The shares that have been transferred will then be returned to the original holder. You can then select the Transfer Shares wizard to re-do the share transfer.

Reversing a share cancellation

If a share transaction has been incorrectly cancelled, it cannot be changed. You will need to delete the cancellation transaction, and re-process it.

Select the task Delete share transaction. The shares that have been cancelled will then be returned to the original holder.

To see the cancelled transactions, tick the Include former holdings option at the bottom of the Members tab.

Correcting share transactions migrated from CSS

If a share transaction has an acquired date that does not match to an Issued Date for that share class (as displayed in the Capital tab), then the share transaction is not available to be corrected using the Change Share Issue task as described above.

The most common scenario where this will occur is for some share transactions that have been migrated from CSS, including some share transactions that may have been created using the Setup from ASCOT data feature in CSS, or that were transferred in CSS.

In this case, the Change transaction details task will be enabled for the share transaction.

In the Change share allotment details dialog the Date of issue field can be changed. Select the correct date from the drop down list of issue dates for the share class.

The share transaction will then be listed in the Change Share Issue task, and other details of the transaction can be corrected from the Allotment Details tab, as described above.
