Copying Asset ledger files to another client's general ledger

Following is information regarding how to copy Asset ledger files to another client's general ledger.

Accordingly, MYOB strongly recommends that you have a backup of your entire data directory, as well as individual ledgers. For backup procedures and principles, consult your IT technician for further help.

To copy Asset ledger files to another client's general ledger
  1. Within Accountants Office, from the Help menu, select About MYOB Accountants Office. The MYOB Accountants Office System Information window appears.
  2. Click on the Application Details... button. The MYOB Accountants Office System Information window is displayed.
  3. Make a note of the Data Path and then click Close. For example, M:\MYOBAO\Data then open the General Ledger module. General Ledger opens.
  4. Open the General Ledger module. The Select General Ledger window appears.
  5. From the Select Ledger drop-down list, select the client with the assets to copy, and take note of the client"s Ledger Path. For example, CLNT42. The client's Ledger Path is noted.
  6. From the Select Ledger drop-down list, select the client that you want to copy the asset ledger to, and take note of the client"s Ledger Path. For example, CLNT50. The client's Ledger Path is noted.

    Ensure that both ledgers have the same Financial Year.
  7. Click Close. The Select General Ledger window closes.
  8. Start Windows Explorer and navigate to your Data folder that was noted at step 3. For example, M:\MYOBAO\Data. Navigate to the Glman folder, which is a sub-folder of your Data folder, and then to your client's ledger folder, for example, CLNT42, which is a sub-folder of the Glman folder. For example, M:\MYOBAO\Data\GLMAN\CLNT42. The files of this folder are displayed.
  9. Highlight the files named: DEPREC.DBF, DEPREC.FPT and DEPREC.CDX and from the File menu, select Copy. The files are copied.
  10. Navigate to the client's folder that you want to copy into. For example, M:\MYOBAO\Data\GLMAN\CLNT50. From the Edit menu, select Paste.

    If you get a message about overwriting existing files, click Yes to All. The files now appear in this folder.
  11. Exit Windows Explorer, Start Accountants Office and open the client's general ledger that you want to copy the asset ledger to. The client's General Ledger is open.
  12. Click the Asset icon. The clients' Ledger, for example, CLNT50, now has the same asset ledger files as the previous ledger CLNT42.
