Error: "Layout not on file" when accessing Freeform or integrating between MAS and Tax

This support note applies to:

  • AE Tax (AU)

In MYOB Accountants Enterprise (AE) MAS you may experience the following errors when accessing Freeform reports or when performing the integration process between AE Tax and AE MAS:

  • "Layout not on file"
  • "Format not on file"
  • "Format 00 is not on file" followed by;
  • "MAS file not found, ledger may be in use"

These messages may appear after upgrading/installing MAS or where MYOB AE Master Freeform is not installed.

If you are importing or integrating from a MAS ledger to an AE Tax return and you are using SQL Tax, you may also experience the error "Freeform module not on file".

To resolve this issue install the latest version of Freeform and transfer the Freeform content to Master Freeform. If you are integrating into SQL Tax you'll also need to copy the Master Freeform file, DS6MP900 into the SOL64 folder.

If you are using a 64-bit operating system, you'll need to install and transfer Master Freeform 5.7 to facilitate the integration between AE Tax and AE MAS.
1. Install Master Freeform

Please refer to the my.MYOB Downloads page, Australia to download the latest release of Master Freeform. You'll need to select MYOB AE MAS from the product download list and scroll to the MAS 6.1 installation files at the bottom of the page. The installation file is called FreeForm57.exe.

For instructions on installing Master Freeform 5.7, refer to the Master Freeform 5.7 Release Notes and Installation Guide.pdf.

Master Freeform 5.7 is the latest version. All further updates to financial report design are provided in MYOB AE Reporter.

Once you have installed Freeform, continue to the next procedure to transfer the Master FreeForm formats.

2. Transfer Master Freeform

The layout and report list for Master Freeform is contained in the MAS program file DS6MP900. With every MAS upgrade the program file is overwritten and so is the Master Freeform. The Product Release Notes provide steps for backing up and restoring the Master Freeform.

  1. Open the MAS ledger with the client code FFORM57.
  2. Follow the menu path: Reports > Client Freeform > Transfer Client Freeform.
  3. Click OK. The message "Transfer?: ##S6 - SOLUTION 6 MASTER FREEFORM 5.7" appears.

  4. Click ALL.

The reports are copied from the Client Freeform list to the Master Freeform.

If you experience this error when performing the integration between AE Tax using SQL and AE MAS, once you have installed and transferred Master Freeform, you also need to copy the Master Freeform file from the MAS program folder to the Sol64 folder. This is detailed in the next procedure.

3. Copy the Master Freeform file

You will only need to perform this step if you are experiencing any of the above errors when integrating between AE Tax and MAS.

  1. Open Windows Explorer or Computer and navigate to the X:\S6CLIENT folder where X:\S6CLIENT is your database location. If you are unsure of your Database location, open any MAS ledger and follow the menu path Help > About. Click Application Details and note the Database location. This is where your Master Freeform file currently resides.
  2. Right-click the DS6MP900 file and select Copy.
  3. Navigate to the Installed location as noted above.
  4. Right-click and select Paste. The file is pasted into the SOL64 folder.
