Missing Documents from my client's Document tab

This support note applies to:

  • AO Document Manager (AU)
  • AO Document Manager (NZ)

In MYOB Document Manager 5.4.26 and above you may find some documents missing under your client's document tab.

To resolve you will need to click on the option 'Reindex Document Search' on the Client Documents screen; this will index these documents without indexing the entire database.

Indexing Documents

Documents that were previously imported using the bulk import tool in Document Maintenance, or approved in the Client Portal and downloaded to Document Manager, may not have been indexed.

In 5.4.26 we have added an option 'Reindex Document Search' on the Client Documents screen; this indexes these documents without indexing the entire database. Use this to ensure all documents have been indexed, so they display correctly in searches.

This new option is available to Administrators (SuperUsers) by default, using task permissions.

To change the task permissions
  1. Select Maintenance > Maintenance Map > Security > Task Permissions.
  2. Select Document Manager from the Product drop-down list.
  3. Select Maintenance > Maintenance Map > Security > Task Permissions.
  4. Select Document Manager from the Product drop-down list.
  5. Select the relevant group from the Group drop-down list.
  6. Select/deselect the Allow checkbox against #Contact #Reindex Document Search 

Indexing of documents is now required for the search in the Client Documents screen. 

It is not advisable to run a Reindex Document Search for a client while running a full reindex for the practice.
