Refreshing budget figures

In MYOB Accountants Enterprise MAS (AE MAS), you may need to refresh budgets once you perform a year-end or upgrade because the budget figures no longer appear within reports.

There are three ways to refresh the budgets within AE MAS.

  • Change the status of the budget. For example, from Current to Other, and then back again.
  • Run the MAS Special Routines.
  • Export the budgets, remove the header for the budgets, re-create the header and import budgets back in.

If one option doesn't correct the problem, try another method of refreshing the budgets.

To change the status of a budget
  1. Open the AE MAS ledger and go to Data > Budgeting. The Budget window appears.

  2. Select the current budget and press Tab on your keyboard. The Add\Edit Budget window appears.

  3. Click Edit. The cursor appears in the Budget Code field.

  4. Press Enter on your keyboard. The cursor moves to the Status field.

  5. Enter the letter O. The cursor moves to the Description field.

  6. Click OK. The message Status has changed (previously "Current"). Update? appears.

  7. Click Yes. The Budgets window appears.

  8. Click the other budget that was just changed and press Tab on your keyboard. The Add\Edit Budget window appears.

  9. Click Edit. The cursor moves to the Budget Code field.

  10. Press Enter on your keyboard. The cursor moves to the Status field.

  11. Enter C. The cursor moves to the Description field.

  12. Click OK. The message Status has changed (previously "Other"). Update? appears.

  13. Click Yes. The Budgets window appears.

  14. Pres Esc on your keyboard until you see the AE MAS ledger.

  15. Print the financial reports and check if the budget figures are displayed.

  16. If the budgets aren't displayed, try the next procedure.
To run the Special Routines
  1. Go to Utilities > Support Routines. The message These routines should only be run under the supervision of support appears.
  2. Click OK. The Special Routines menu appears.
  3. Select 4. Update Budgets/Projections - control accounts. The message Proceed with Update appears.
  4. Click Yes. The Special Routines menu appears.
  5. Select 5. Update Budgets/Projections - budget fields. The routine proceeds and the Special Routines menu appears.
  6. Press Esc on your keyboard. The AE MAS ledger appears.
  7. Print the financial reports and check if the budget figures appear.

  8. If the budgets aren't displayed, try the next procedure.
To export and import budgets
  1. Open the AE MAS ledger and go to Data > Budgeting. The Budget window appears.

  2. Click the current budget and go to File > Export. The Export Budget Account Balances window appears.

  3. Click OK. The Output Selection window appears.

  4. Select DISK FILE and click OK. The File Export windowappears.

  5. In File name, enter the location and file name.

  6. Click OK. The budgets are saved to disk and the Budgets window appears.

  7. Select the current budget and click Delete. The message Delete Budget CU. Are you sure? appears.

  8. Click Yes. The Budgets window appears.

  9. Click New. The Add\Edit Budgets window appears.

  10. In Budget Code, enter a code for the budget. The cursor appears in the Status field.

  11. Enter C. The cursor moves to the Description field.

  12. Enter a description for the budget and click OK. The Add\Edit Budgets window appears.

  13. Press Esc on your keyboard. The Budgets window appears.

  14. Select the current budget and go to File > Import. The Import Budget Account Balances window appears.

  15. Press Enter on your keyboard until the cursor appears in the Drive field.

  16. Enter A and press Enter on your keyboard. The cursor moves to the Source Filename field.

  17. Enter Budgets and click OK. The figures are imported and the Budgets window appears.

  18. Pres Esc on your keyboard until the AE MAS ledger appears.

  19. Print the financial reports and check if the budget figures appear.
