Restoring a document from a backup in Document Manager

This support note applies to:

  • AO Document Manager (AU)

When opening a document in MYOB Document Manger (DM) you may receive a message advising that the document does not exist in the Document Manager File Store (DMFS).

Example: "Failed to retrieve file <file name>.  File does not exist in the Document Manager File Store".

To resolve this you will need to restore this document from an external backup.

  1. Locate your Document Manager File Store (DMFS) folder.
    To locate your DMFS folder, In AE/AO click on Maintenance > Maintenance Map > Documents > Document Manager setup and the File Store tab. This will show the server and folder location of the DMFS.
  2. Then look for the same GUID name in the backup of DMFS.
    To locate the create date of the document in MYOB Document Manager, right click on the document and select Audit Trail. Go to the first entry and note down the Activity Create date.
  3. Make a copy of that file locally and then import this local copy as a new version of the same document in Document Manager.
In DMFS > Create Date folders, the file name appears as a combination of numbers and alpha characters - that file name is called GUID
This is different to the title of the document in DM. To find the GUID of the document you want to restore you will have to check all documents of the same type in the DMFS > Create Date folder.

Example: If it is Word document, then you will need to open each word document in its create date folder to check the one you are looking for.
