Using Repeat fields in Intranet templates

In MYOB Document Manager you can create a new document from MYOB Intranet Standards (templates) via the Add Letter function.   Intranet Standards can been designed using Word merge fields to automatically populate answer fields contained within the document.

For example, a Word merge field can be created for the Tax Year on a Notice of Assessment Letter.  The Tax Year answer will automatically populate within the designated area in the document.  The same answer can also be populated multiple times in the document.

This Word merge functionality is called Microsoft Fill-Ins Fields and Microsoft Ref Fields.

 

To create Microsoft Fill-In Fields and Ref Fields
 

In MYOB Intranet open the Standard you wish to customise and complete the following steps:

  1. Position the cursor where the Fill-In field is required to display in the Standard.
  2. To insert a Fill-In field, follow the path;
    Insert > Quick Parts > Field.  The Field window appears.

     For Microsoft Word 2013, depending on your settings the Field option may be located under: Insert > in the Text area select Quick Parts > Field
  3. From the Field Names list, select Fill-in.  The Fill-in field is now highlighted.
  4. Enter a standard prompt in the Prompt field and click OK.  For example, Enter the Tax Year.
  5. A standard prompt window appears. Enter a standard response in the window or leave blank.  For example, enter the Tax Year as "30 June 20XX".
  6. Click OK to continue.
  7. Highlight the Fill-In field you have just created in the Word document. When you highlight it, it will have a solid blue/grey background.
  8. Click on Insert > Bookmark. The Bookmark window appears.

     For Microsoft Word 2013, depending on your settings the Field option may be located under: Insert > in the Text area select Quick Parts > Field

     

  9. Type in the name of your Bookmark and click Add. 

     Do not use spaces in the bookmark name.
  10. Position the cursor where the Repeated Fill-In field is required to display in the Standard.Click Insert > Quick Parts > Field.  The Field window appears

  11. Click Insert > Quick Parts > Field.

     For Microsoft Word 2013, depending on your settings the Field option may be located under: Insert > in the Text area select Quick Parts > Field
  12. From the Field Names list, select Ref.  The Ref field is now highlighted
      

  13. From the Field Properties options Click on the Bookmark name you wish to repeat and click OK. 
    Repeat Steps 10 to 13 for each time you wish to repeat the Fill-in Field answer. 
  14.  Save and Close the changes to the Standard. The next time the Standard is selected, you will be prompted to enter the Fill-Ins and the answer will repeat on bookmarks.
