Notifying ASIC of changes to names or addresses

The Notify change of name or address wizard is used to inform ASIC of changes made to the selected person’s name or address using MYOB AE/AO.

When the wizard finishes, a record of the person’s former name or address will display on the Name History or Address History screens (see Name history, and Address history).

To notify of changes to a person’s name and address
  1. Select and open the person. See Selecting people. The Details tab opens.
  2. Select Notify change of name and address on the Task Bar. The Notify change of name or address for <person’s name> wizard opens.

    Most of the wizard screens have Back, Next and Cancel buttons. The following assumes that you will continue through the steps, but you can also revise earlier screens (using Back), or Cancel the process.

  3. Select Notify change of name and/or Notify change of address.
  4. Click Next. The Change of Person's name screen will display the New name, Former name and a blank Date of name change.
  5. Enter the Date of name change or select the date from the drop-down calendar, and click Next. The Change of Persons address screen will display the New address, Former address and a blank Date of address change.
  6. Select Address does not meet the Postal Address File rules, if you know the address is correct and do not want to run the ASIC check process.
  7. Click Next.

    If this address is that of an Officer, and it is shared, the Officers affected screen will list all officers (including this person) who share that address. All those listed will be required to notify ASIC.

    The Selection Documents screen lists all the documents required. Documents that are not relevant to this situation may also be listed, but are unavailable (greyed out).

  8. Click Next after selecting the appropriate document checkboxes. The Notify ASIC for affected companies screen will list all companies affected by this change, each with a checkbox which allows you to create an ASIC form.
  9. Select the checkbox to create the form for each company and click Next. The Signing officers screen lists each company affected, with columns for the Company, Signing officer and Date signed, and a checkbox under In response to company statement.
  10. Click Change details. The Change signing details screen opens.
  11. If necessary, enter a different Date signed or select one from the drop-down calendar.
  12. Select the Signing officer from the drop-down
  13. If relevant, indicate if this form is being generated in response to a company statement (as required for Form 484C).
  14. Click OK.
  15. Review the Signing officers screen and click Next to open the Finish screen.
  16. Review the Finish screen and click Finish if satisfied. The Forms Completion Report screen lists the required report to be sent to ASIC.
  17. Click the first form listed in Preview items (under the Forms Completion Report) to open it in the main window.
  18. Use the tools at the top to Save, Print, Page Left, Page Right, Find text in the document, or Zoom in/out.

    or,
    Click Select to open a Print selection screen to select all or part of the list of documents for printing.
    or,
    Click Print All.
    or,
    Click Save with… to open the Document Manager options screen. Make your selections and click OK to open MYOB Document Manager. See the Document Manager help for further details.
  19. Complete and lodge the form with ASIC (see ASIC forms in progress and Forms lodgement).
  20. Click Close when finished.

    If an address is shared with other people or corporations, a series of shared address screens will open. Go to If an address is shared for instructions.

To notify of changes to a person’s name
  1. Select and open the person. See Selecting people. The Details tab opens.
  2. Select Notify change of name and address on the Task Bar. The Notify change of name or address for <person’s name> wizard opens.

    Most of the wizard screens have Back, Next and Cancel buttons. The following assumes that you will continue through the steps, but you can also revise earlier screens (using Back), or Cancel the process.

  3. Click Next. The Change of Persons name screen will display the New name, Former name and a blank Date of name change.
  4. Enter the Date of name change or select the date from the drop-down calendar, and click Next. The Change of Persons name screen will display the New name, Former name and a blank Date of name change field.
  5. Enter or select the Date of name change.
  6. Click Next. The Selection Documents screen lists all the documents required. Documents that are not relevant to this situation may also be listed, but are unavailable (greyed out).
  7. Click Next after selecting the appropriate document checkboxes. The Notify ASIC for affected companies screen will list all companies affected by this change, plus a checkbox which allows you to create an ASIC form.
  8. Select Create ASIC form or document? to create the form for each company, and click F. The Signing officers screen lists each company affected, with columns for the Company, Signing officer and Date signed, and a checkbox under In response to company statement.
  9. Click Change details. The Change signing details screen opens.
  10. If necessary, enter a different Date signed or select one from the drop-down calendar.
  11. Select the Signing officer from the drop-down
  12. If relevant, indicate if this form is being generated In response to a company statement (as required for Form 484C).
  13. Click OK. The Change signing details screen opens.
  14. Review the Signing officers screen and click Next to open the Finish screen.
  15. Review the Finish screen and click Finish if satisfied. The Forms Completion Report screen lists the required report to be sent to ASIC.
  16. Click the first form listed in Preview items (under the Forms Completion Report) to open it in the main window.
  17. Use the tools at the top to Save, Print, Page Left, Page Right, Find text in the document, or Zoom in/out.

    Click Select  to open a Print selection screen to select all or part of the list of documents for printing.
    or,
    Click Print All.

  17. Complete and lodge the form(s) with ASIC (see ASIC forms in progress and Forms lodgement).

  18. Click Close when finished.

    If an address is shared with other people or corporations, a series of shared address screens will open. Go to If an address is shared for instructions.

To change a shared address

If the address is shared by other corporations, officers and/or members in MYOB AE/AO, up to three screens will display listing the shared addresses affected by the change of address.

To change these shared addresses and generate ASIC forms for each of them, proceed to the next Step.

To not proceed with the changes to these shared addresses, click Cancel and un-share the address for each record in MYOB AE/AO. Then restart this wizard.

  1. Click Next. The Select the documents you wish to produce screen opens.
  2. Select the documents you need.
  3. Click Next. The Enter signing officers and date screen displays with all companies that are affected by the change.
  4. Select each company effected by the change.
  5. Click Change details on the Task Bar. The Change signing officer screen opens.
  6. Select the Signing officer from the drop-down list.
  7. Enter the Date signed or select the date from the drop-down calendar. If relevant, indicate if this form is being generated In response to a company statement (as required for Form 484C).
  8. Click OK.
  9. Click Next. The Finish screen opens.
  10. Select the documents you need to preview (e.g., Form 484 Notification of change of name or address).
  11. Click Finish. If you selected to preview documents in the previous screen, they open from the Print preview screen (see Previewing forms and documents). If you did not select to preview documents, the ASIC Form Validation screen opens.
  12. Complete and lodge the forms with ASIC (see ASIC forms in progress and Forms lodgement).
