Restricting / allowing changes to client and contact details

You may wish to change the configuration to control which security groups can edit client and contact details; including their address information.

 There are separate task permissions to control these changes.

To check the security group the employee is a member of select Maintenance > Maintenance Map >Security > Employee Group Security and then search for the employee by surname to see which security group they are a member of. For more information, see Employee group security.

To restrict/allow changes to client details

Note: Deselecting this option will stop users from changing phone numbers as well as details under Extras, Associations, Billing Groups etc but not under the Responsibility tab .


  1. Select Maintenance >  Maintenance Map > Security > Task Permissions on the main menu. The Maintenance Task Permissions page opens.
  2. Select the Product - Central from the drop-down.
  3. Select the Group (security group) from the drop-down that you want to set up the task permissions for.
  4. Under Group Description, click

     against Client to list the permissions for that area. The list expands and displays a checkbox in the Allow column.

    Select the checkbox in the Allow column to give permission to a task.

    Deselect the checkbox in the Allow column if you do not want to give permission for the task (or click Toggle group on/off

    on the Tasks bar).

  5. Select/deselect the checkbox for #Client #Can Modify Details.
  6. Click OK to save the changes
  7. Close and re-open AE/AO for the changes to take effect. 

To restrict/allow changes to contact details

Note: Deselecting this option will stop users from changing phone numbers as well as details under Extras and Associations but not under the Responsibility tab .

  2. Select the Product - Central from the drop-down.

     against Contact to list the permissions for that area. The list expands and displays a checkbox in the Allow column.

    Select the checkbox in the Allow column to give permission to a task.

    Deselect the checkbox in the Allow column if you do not want to give permission for the task (or click Toggle group on/off

    on the Tasks bar).

  5. Select/deselect the checkbox for #Contact #Can Modify Details.
  6. Click OK to save the changes
  7. Close and re-open AE/AO for the changes to take effect. 

To restrict/allow changes to address details
  1. Select Maintenance >  Maintenance MapSecurity > Task Permissions on the main menu. The Maintenance Task Permissions page opens.
  2. Select the Product - Central from the drop-down.
  3. Select the Group (security group) from the drop-down that you want to set up the task permissions for.
  4. Under Group Description, click

     against Other to list the permissions for that area. The list expands and displays a checkbox in the Allow column.

    Select the checkbox in the Allow column to give permission to a task.

    Deselect the checkbox in the Allow column if you do not want to give permission for the task (or click Toggle group on/off

    on the Tasks bar).

  5. Select/deselect the checkbox for #Address #Can Add.
    Select/deselect the checkbox for #Address #Can Delete.
    Select/deselect the checkbox for #Address #Can Modify.
  6. Click OK to save the changes
  7. Close and re-open AE/AO for the changes to take effect.
