Update multiple external links

You can update multiple links to external files and folders using MaintenanceUser defined > Update Multiple External Links. You are able to update links to AccountRight files, document folders and Workpapers documents.

For example, use Update Multiple External Links if you want to migrate data to a different server. All file and folder links must then be updated with the new server name. You specify the values that you would like to change and the link type(s) to which the changes are applied.

Another example of using the Update Multiple External Links feature is, if you want to move client document folders which are currently located in c:\Documents to c:\Client Documents you must update the folder links. Enter c:\Documents in the Replace field and enter c:\Client Documents in the With field. Select the Client document folders links option in the In section and click OK.

Access to Update Multiple External Links is denied by default to all users except to the superuser group. To enable access change the [Maintenance][User Defined][Update Multiple External Links] task permission in the Central Product.

 

To update multiple external links
  1. Select MaintenanceUser defined > Update Multiple External Links on the main menu (AE) or MaintenanceMaintenance MapUser defined > Update Multiple External Links. The Update multiple external links window opens.

  2. Enter the location that is to be changed in the Replace field. By default the Replace field is blank. This is a mandatory field.

  3. Enter the new location in the With field. By default the With field is blank. This is a mandatory field.

  4. Click the checkboxes of the files and/or folders whose links will be updated.

    • The AccountRight file links option is displayed if Statutory Reporter is licensed.

    • (AE) The Client document folders links option is displayed if Document Manager is not licensed and the Windows Explorer view of the Documents tab is selected.

    • The Workpapers document links option is displayed if Workpapers is licensed and Document Manager is not licensed.

  5. Click OK. An error message is displayed if the Workpapers document links option is selected and one or more Workpaper periods are open. A confirmation message is displayed informing you that this change could affect all clients and may result in some files and documents becoming inaccessible.

  6. Click OK.

    • If the AccountRight file links option is selected, the location in the Replace field is replaced with the location in the With field in all links to myob files as specified on the Client Configuration window in Client Accounting.

    • If the Client document folder links option is selected, the location in the Replace field is replaced with the location in the With field in all client document folders as specified in the Documents tab for each client.

    • If the Workpapers document links option is selected, the location in the Replace field is replaced with the location in the With field in all links to external documents specified in Workpapers.
