Checking the version of a document

This support note applies to:

  • AO Document Manager (AU)
  • AO Document Manager (NZ)
  • AE Document Manager (NZ)

In MYOB Document Manager there are several methods in checking the version of a document. This can be seen from either the:

  • Clients - Documents tab

  • Versioning tab.

The following details will provide you with instructions on both of these methods.

Checking the version via the Clients - Documents tab

By using this method you will only check the version number of the most recent document reference for that client.

If there are historical versions of the one same document, this will not display in this location. You will need to use the instructions to check the version via the Versioning tab.

To check the version via the Clients - Documents tab
  1. In the MYOB software, click the Contacts icon. The Find Clients tab opens.
  2. Search and open the client containing the document you want to check. The Client tab opens.
  3. Select the Documents tab. The contents of the tab displays.
  4. Search for the document you want to check. The document displays on the Documents tab.
  5. Note the details in the Reference No column. The reference and version number is displayed. For example, XX_YY where XX is the reference number of the document and YY is the version number of document.

Checking the version via the Versioning tab

By using this method you will be able to review all versions of the referenced document for that client, including historical versions.

To check the version via the Versioning tab
  1. In the MYOB software, click the Contacts icon. The Find Clients tab opens.
  2. Search and open the client containing the document you want to check. The Client tab opens.
  3. Select the Documents tab. The contents of the tab displays.
  4. Search for the document you want to check. The document displays on the Documents tab.
  5. Right click on the document reference number in the Reference No column and select Version. The Versioning tab opens. You will now see all versions, including any historical versions of the document.

    The active version, appearing in the searches, is highlighted in bold and has a blue arrow in the first column. To change the active version, highlight the desired version and select Set current version from the TASKS bar.
