Error: "Application not licensed, contact your system administrator"

This support note applies to:

  • AE Document Manager (NZ)
  • AE Document Manager (AU)

Error: 'Application not licensed contact your system administrator' appears in Intranet Homepage if security and permissions are not correctly applied to the folders that point to MYOBIntranet & MYOBIntranetData Shares on the Server.

It can also occur if your AEPM workstation setup assembly files are out of date e.g. you haven't yet done an AEPM workstation setup after an AEPM server update.

Please run an AEPM workstation setup to ensure your workstation assembly files are up to date KB Installing and Uninstalling Accountants Enterprise (AE) on a workstation. Then test if the issue is resolved if not then proceed with the steps below.

You must log onto the Server where Intranet is installed with administrative rights. (User must be Administrator)

To change permissions on the MYOBIntranet Share
  1. From Windows Explorer, browse to the Server folder for Intranet. It is by default located at C:\MYOB\Knowledge Management\Intranet\Server. The Server folder opens.
  2. Right click on the Server folder and select Sharing & Security or Properties. The Server Properties window opens.
  3. Click on Sharing Tab and select Permissions. The Permissions for MYOBIntranet appears.
  4. Assign Full control to the Everyone user group and click Apply & then Ok. The Permissions for MYOBIntranet window closes.
  5. Click on the Security Tab and highlight the User security group to want to assign the permissions to. The permissions for User group appear.
  6. Assign Write permissions and click Apply and then Ok. (Users must have Read, Read & Execute, List folder contents and Write permissions). The Server Properties window closes.
To change permissions on the MYOBIntranetData Share
  1. From Windows Explorer, browse to the Data folder for Intranet. It is by default located at C:\MYOB\Knowledge Management\Intranet\Data. (Drive may be your data drive). The Data folder opens.
  2. Right click on the Data folder and select Sharing & Security or Properties. The Data Properties window opens.
  3. Click on Sharing Tab and select Permissions. The Permissions for MYOBIntranetData appears.
  4. Assign Full control to the Everyone user group and click Apply & then Ok. The Permissions for MYOBIntranetData window closes.
  5. Click on the Security Tab and highlight the User security group to want to assign the permissions to. The permissions for User group appear.
  6. Assign Write permissions and click Apply and then Ok. (Users must have Read, Read & Execute, List folder contents and Write permissions). The Data Properties window closes.
The permissions may take sometime to refresh.

Also check the following:

  1. Open Computer / Server Management on the server where Intranet is installed.
  2. Go to System tools > Shared Folders > Open Files.
  3. Scroll through the list and see if you can find files ending in \MYOBAE \ Registration \ business_lock.inf.
  4. Count the number of occurances of these files.
  5. If any user has more than one occurence then they will need to close all open files and user needs to open Intranet again as it is locking the license more than once.

If all of the above has been checked and the issue persists only on some machines it can relate to CASPOL permissions.

To update the Microsoft .net CASPOL permissions
  1. Click the Windows Start button and select Run. The Run screen appears.
  2. In the Open field type CMD and press ENTER. A DOS screen appears.
  3. Type the following command at the DOS prompt %DOTNETPATH%\caspol.exe -q -ag 1. -url "file:%REGO_PATH%\*" FullTrust -name AERego and press Enter
    Where %DOTNETPAH% is the path to the caspol.exe and %REGO_PATH% is the path to the MYOBAE\Registration folder.
    Example: C:\WINDOWS\Microsoft.NET\Framework\v2.0.50727\caspol.exe -q -ag 1. -url "file:\\server\share\MYOBAE\Registration\*" FullTrust -name AERego
    Where server and share are the actual names of the server and share where the MYOBAE folder resides.

    The command above is case sensitive and needs to be keyed in as shown. On 64 bit machines, you may also need to run the command a second time whereby the %DOTNETPATH% is C:\WINDOWS\Microsoft.NET\Framework64\v2.0.50727\caspol.exe.
    The message "Added union code group with "-url" membership condition to the Machine level. Success" appears confirming the CASPOL settings have been updated.
    This message will appear if the syntax of the command is correct, regardless of whether the rego path entered exists or not. Please ensure that the correct path is entered as receiving the above message does not mean that the procedure was done correctly, it simply means the path specified was added to the local machine's trusted list.
  4. Type exit to close the DOS prompt The DOS prompt closes.
