Error: "Import contact error. The contact may have been removed from the AE/AO database"

This support note applies to:

  • AO Corporate Compliance (AU)
  • AE Corporate Compliance (AU)
Article ID: 37082

In MYOB Corporate Compliance (CC) you may experience the following error "Import contact error. The contact may have been removed from the AE/AO databaseā€ when accessing a corporation or person.

This error can occur when a contact in Corporate Compliance is not linked to a contact or client in the MYOB Accountants Enterprise (AE) or Accountants Office (AO) database. If the contact is not linked, changes to names and address will not flow into Corporate Compliance and consequently, fail to trigger the relevant ASIC forms.

The following tasks will help you resolve this error.

1. Check for duplicate records in Corporate Compliance

Check for duplicate records in Corporate Compliance. The contact you are accessing may have another record in Corporate Compliance.

For example, the contact "John Smith" may be an Officer in Corporate Compliance and a member under the name of "John Peter Smith".

If this is the case, check both contact records in AE/AO for data. You may need to consolidate contacts, further details can be found in Duplicate People or Corporations in Corporate Compliance.

2. Check the client information in AE/AO is correct

Review the client data in AE/AO and compare with the data in Corporate Compliance to ensure the data is correct. The main areas of concern are:

TypeFields
People
  • Name
  • Date of birth
  • Residential address
  • Postal address
Corporations
  • Name
  • Australian Company Number (ACN)
  • Business registered
  • Postal Address
3. Run the Contact Integration Manager tool

Once you have confirmed that the MYOB AE/AO data is correct, use the Contact Integration Manager (CIM) tool located on your server to link the contact using the auto or manual matching functions.

To locate the CIM tool:

  1. From the Desktop of your server, open Windows Explorer and navigate to the Corporate Compliance\Utilities folder. This is commonly located in in your Corporate Compliance installed location:

    Operating SystemPath
    32-bitC:\Program Files\MYOB\Corporate Compliance\Utilities\
    64-bitC:\Program Files\MYOB\Corporate Compliance\Utilities\
  2. Double-click on ContactIntegrationManager.bat.

  3. From the Contact Integration Manager panel, select to either:

    OptionDescription
    Auto match contacts

For contacts in your Corporate Compliance database that are not already linked to a contact in your MYOB AE database, the system tries to find a matching contact in your MYOB AE database.

    • Corporations are matched on name, ABN and ACN.
    • People are matched on name and date of birth.
    Manually match contacts

For contacts in your Corporate Compliance database that are not already linked to a contact in your MYOB AE database, you can manually select the required matching contact in your MYOB AE database.

More information on the CIM tool is available in the MYOB Corporate Compliance 3_1 Integration with AE Guide.pdf guide as well as from the my.MYOB Product Downloads page, Australia.
