You can add a miscellaneous charge to any client assignment (AE)/job (AO), whether it has billable WIP against it or not.
A miscellaneous charge can be added at the time of billing from the Bill Amounts window.
Miscellaneous charge bills are generally raised:
For the purpose of charging interest on overdue accounts
For a registered office charge.
To create a bill where the practice does not enter timesheets.
In MYOB AE, you can also create them prior to billing from the Misc/Est tab on the Assignment Details page for the relevant client. Miscellaneous charges previously raised can be viewed in the relevant Misc/Est tab on the Assignment Details page.
If you want to add the miscellaneous charge to an existing draft bill, double–click the draft bill in the list to open it in the Billing Main page. Ensure that you are in the Edit Bill mode (see Editing and unlocking draft bills).
Open the Bill Amounts window. This can be done in one of two ways:
Click Create a Miscellaneous Charge on the Bill Amounts window toolbar. The Select Client Assignment/Select Client Job window opens.
Select the assignment/job to record the charge against from the list. If you require an assignment/job that is not listed, click Find to open the Find Assignment/Find Jobs window. From here you can search for any client assignment/job in the system.
Click Add. This will add the selected assignment/job and close the Select Client Assignment/Select Client Job window. The Create new billing charge window opens.
Select the required Transaction Date. This defaults to today’s date. The date can be changed by entering a date in the format dd/mm/yyyy or selecting it from the drop-down calendar.
Select the required Type from the drop-down.
Miscellaneous charge types must be set up by your system administrator in order to be available here. This is done from Maintenance > Maintenance Map (AO) > Miscellaneous > Code Types > Misc Charge.
Enter the net amount to be charged in the Amount field.
If you want to raise a credit note for a client, enter a negative amount in the Amount field.
Enter any internal notes to explain the reason for the charge in the Notes field.
The Implemented by field defaults to the employee creating the miscellaneous charge and the In Employee’s Time Period field defaults to the current time period selected for the employee.
Click OK. The Create new billing charge window closes.
Click Close. The Select Client Assignment/Select Client Job window closes. The charge is displayed in the Bill Amounts page in the Write-On (Off) field in brackets, e.g., (200.00). The bill total increases to reflect the new charge.
To view the miscellaneous charge in the Bill Amounts page, drill down through client/assignment/job or group the items by code type to show miscellaneous charges as their own item.
All miscellaneous charges for a client are displayed as one item in the Bill Paragraphs window, whether entered before billing or during. You will need to manually create separate line items in the Bill Paragraphs window if you want them to display them individually in the client’s bill. Ensure that the individual item amounts are amended to match the total miscellaneous charge amount or you will not be able to post the bill.
To add a miscellaneous charge from the Assignment Details page (AE)
Double-click the relevant assignment. The Assignment Details page opens for the selected assignment.
Click the Misc/Est tab.
Click the first blank line at the top of the table. The Code Type, Employee, Date and Authorisation fields are automatically filled.
Change the default Date, if required. Enter the date in the format dd/mm/yyyy or select it from the drop-down calendar.
Enter an amount to be billed in the Charge field.
Enter the cost to the practice in the Cost field.
Select the required Code from the drop-down.
Miscellaneous charge types must be set up by your system administrator in order to be selected in the Misc/Est tab. This is done in Maintenance > Miscellaneous > Code Types > Misc Charge.
Enter any internal notes in the Comments field.
Click anywhere outside the line to save it or press [Enter]. The new charge is moved to the area below.
Click Submit . The charge is now ready for authorisation and posting.
If you have permission to do this, click Authorise then Post Now. The charge is displayed in the Bill Amounts window in the Posted WIP field.
