Step 3—Address details

Accountants Enterprise only

Details entered in Step 3Address Details of the Wizard are transferred to the Addresses tab.

Addresses can be entered by either:

  • entering new addresses for the new contact type.

  • entering and linking to a new address in the database.

  • linking an existing address to the contact type.

To enter a new address for a new contact type
  1. Complete the mandatory steps in Step 1—Personal details and responsibility and Step 2—Extra details.

  2. Click Next.
    or
    Click the Address tab.
    Step 3—Address Details is displayed.

  3. Select the appropriate Address Type from the list.

    The Address Type options available in the drop-down list depend on the types set up in Maintenance > Address/Phone > Address Type.

  4. Enter the Address details.
  5. Enter the Suburb/Town, State, Postcode and Country details.

    If an error is made when you enter the address details, click Clear to erase the current details and enter the correct details.


  6. Repeat Step 3. to Step 5. if you want to add more address types for the contact type.

  7. Enter the Phone, Fax and Mobile details of the contact type.

    These numbers and the email address apply to all addresses for this contact type.

  8. Right-click the Enter Email Address Here hyperlink and overtype the existing text with the contact type’s email address.

    If you left-click the hyperlink, a new email message opens.

  9. To complete creating the contact type, click Finish.
    The wizard closes and the Client/Contact/Supplier page is displayed for the new contact type. Click through the tabs to check, add or edit information.
    Alternatively, to continue entering details for the contact type using the Wizard, click Next.
    Proceed to Step 4—Note details to enter notes associated with the contact type.

To enter and link a new contact type address
  1. Complete the mandatory steps in Step 1—Personal details and responsibility and Step 2—Extra details.
  2. Click Next.
    or
    Click the Address tab.
    Step 3 — Address Details is displayed.
  3. Select the appropriate Address Type from the list.

    The Address Type options available in the drop-down list depend on the types set up in Maintenance > Address/Phone > Address Type.

  4. Click the ellipse button on either the Address, Suburb/Town or Postcode fields. The Address Search and Maintenance window opens.
  5. Enter the address details into Address Lines 1, 2 and 3 columns in the first blank row of the table.
  6. Enter the Suburb/Town, State, Post Code and Country.

  7. Click Link.

  8. Click Yes to confirm that you want to link the new address.

  9. Click OK.

  10. Click Yes to reopen the Wizard  which contains the details for the Address Type just entered.

  11. Enter the Phone, Fax and Mobile details for the contact type.

    These numbers and the email address apply to all addresses for this contact type.

  12. Right-click the Enter E-Mail Address Here hyperlink and overtype the existing text with the contact type’s email address. 

    If you left-click the hyperlink, a new email message opens.

  13. Repeat Step 3. to Step 10. for each Address Type required.
    The new address is added to the database and you can link it to other clients, contacts, suppliers and employees in the database.
  14. To complete creating the contact type, click Finish.
    The wizard closes and the Client/Contact/Supplier page is displayed for the new contact type. Click through the tabs to check, add or edit information.
    Alternatively, to continue entering details for the contact type using the Wizard, click Next.
    Proceed to Step 4—Note details to enter any notes about the contact type.
To link an existing address to the new contact type
  1. Complete the mandatory steps in Step 1—Personal details and responsibility and Step 2—Extra details.
  2. Click Next.
    or
    Click the Address tab.
    Step 3 — Address Details is displayed.
  3. Select the appropriate Address Type from the list.
  4. Click the ellipse button on either the Address, Suburb/Town or Postcode fields. The Address Search and Maintenance window opens.
  5. Search for the existing address to link to:
    1. Select the part of the address you want to search for from the Search for drop-down. For example, Any part of Address. 
      You can search on Town, State, Postcode, Country, Surname/Company and Client/Supplier code. If you know the street name, select Any part of Address.
    2. Enter the search text in the which starts with field.
    3. Click Search or press [Enter]. Addresses that match the search criteria are listed.
  6. Click the address you want to link to the contact type.

     

    Click Show if you want to see who or what is already linked to the selected address. The Contacts/Clients/Suppliers Using Address window opens listing all who are linked to the selected address.

  7. Click Link to re-use this address for the contact type. A Success message is displayed.
  8. Click OK to confirm that you want to link the selected address to the new contact type. The Success message and the Address Search and Maintenance window close. The address is displayed in the Wizard.
  9. Repeat Step 3. to Step 8. if you want to link to other types of addresses. You are returned to Step 3 — Address Details of the Wizard.
  10. Enter Phone, Fax and Mobile details of the contact type.

    These numbers and the email address apply to all addresses for this contact type.

  11. Right-click the Enter Email Address Here hyperlink and overtype the existing text with the contact type’s email address.

    If you left-click the hyperlink, a new email message opens.

  12. To complete creating the contact type, click Finish.
    The wizard closes and the Client/Contact/Supplier page is displayed for the new contact type. Click through the tabs to check, add or edit information.

    Alternatively, to continue entering details for the contact type using the Wizard, click Next.

    Proceed to Step 4—Note details to enter notes related for the contact type.
