MYOB AO 2020.0—Upgrading from MYOB AO Classic (New Zealand)

These instructions explain how to upgrade from MYOB AO Classic to MYOB AO. See MYOB AO 2019.1—Pre-migration from MYOB AO Classic (New Zealand) for details on preparing your MYOB AO Classic data to migrate to MYOB AO.

There’s also a handy checklist for you to use if you’re installing MYOB AO and Tax Manager.

Preparing for installation

Read this section completely before installing MYOB AO. It will help you plan for the tasks required and ensure a successful installation of MYOB AO. Some of the tasks need to be performed using your existing MYOB AO Classic before you install this release of next generation MYOB AO.

Additional prerequisites
  1. Check that you have MYOB AO Classic version 17.0.0b or later installed. This must be installed to migrate your MYOB AO Classic data to MYOB AO.

  2. Record your current login details for MYOB AO Classic.

  3. Record the location of the MYOB AO Classic data folder. To find the location:

    1. Open MYOB AO Classic on your usual workstation.

    2. Select Help > About MYOB Accountants Office.

    3. Click the Application Details button.

  4. Back up the MYOB AO Classic data folder. See Backing up my AO Classic data for instructions on taking a backup.
  5. You only need to perform this step if you are migrating your AO Classic Practice Manager data to MYOB AO during this upgrade.

    1. Open MYOB AO Classic and check that AO Classic Debtors is running in Open Item mode:

    2. Select Tools > Options.

    3. Click Advanced.

    4. Click Other.

    5. Ensure that debtors type is set to Open Item.

  6. If you had to change the debtors type:

    1. Close and reopen MYOB AO Classic.

    2. Open Debtors.

    3. Select FileHousekeeping > Auto Allocate All Transactions.

  7. In MYOB AO Classic, run the following:

    • FileHousekeeping > Check Client ID

    • FileHousekeeping > Pre-Migration Check.

      Check Client ID may take a long time to check your database. Once you have started this check, do not cancel it, or your data may be corrupted.

      If you encounter any errors during this check, you need to fix them before you can migrate your data. See Pre-migration from MYOB AO Classic (New Zealand) for detailed information on running this check and correcting any errors you may find.

  8. In MYOB AO Classic, prepare and save Tax Payment Calculation Reports for all of your clients for the following dates:

    • the next main terminal due date, being 7 April

    • the next provisional due dates for all balance months you have clients for.

    To run this report, select:

    1. AO ClassicTax ManagementPayments menu > Tax Payment Calculation Report.

    2. Select all clients.

    3. Enter the next main terminal due date (7 April) as the required Payment Due Date.

    4. Select the Include student loans option.

    5. Print the report to a file, for example, a PDF document. We suggest saving your report with a name in the following format:
      TPCR for 07-04-2019 run on 15-05-2019.pdf

    6. Repeat for each of the required provisional due dates.
      You will need these reports when checking the results of your Tax manager data conversion.

      It is important to complete this step before you install MYOB AO. You will not be able to access the functionality to run this report in MYOB AO Classic once you have installed MYOB AO.

 

Installing MYOB AO

The MYOB AO Installation Wizard will guide you through the installation process.

Before proceeding with the installation — Ensure that you have completed running the Pre-Migration checks and printing the Tax Payment Calculation Reports on your MYOB AO Classic data.

Main installation

You must run the installation on the computer that will store your MYOB AO database. If you have a network this is usually your server. See What is my system setup? for more information on your system setup.

  1. Download the 5.4.34.73 lite installer file from my.MYOB.
  2. Exit all programs and reboot the computer you are going to install MYOB AO on to ensure a clean environment.
  3. Log on to the computer as the administrator.

  4. If the installation applies to both Australia and New Zealand, you will see the Regional Selection screen. Select the region that applies to you so the correct software for your region is installed and click Next. The Welcome - Licence Agreement window opens.

    At the bottom of the installer screen there are links to the Release Notes.

  5. Read the Licence Agreement carefully, select I have read and accept the licence agreement then click Next.

  6. Click Install Now to start the installation.

    The installation may take more than an hour to complete. Ensure that you have allocated enough time for the installation.

  7. If you are running the MYOB AO Lite Install, and you see this message:


    Locate and download MYOB AO Full Install instead. The full installer will install SQL Server 2014.

  8. If you are running the MYOB AO Full Install, you may see this window:


    If you click Yes, Microsoft SQL Server 2014 Service Pack will be installed, if you click No the install will end.

  9. If the SQL installation fails, you’ll need to manually install the SQL server service, see Installing SQL Server 2014 Service Pack 2 manually below:


    The AO data migration results window opens.

  10. Review the Tax manager data migration results shown at the top of the screen.

    If your AO Classic data could not be converted, an error message is displayed in red. Please contact MYOB Support on 0800 94 96 98 for assistance.

    The results identify if there are any differences between the Tax Manager payment due amounts in AO Classic and the amounts migrated to MYOB AO. If you need to reconcile any differences:

    1. Click the link above the results table to open the AO Migration Tax Manager Summary report listing all clients with a difference in their payment due amounts.

    2. Print the report or keep a record of where the report is stored so you can reference it later.

      The AO Migration Tax Manager Summary is stored in your MYOB AO data folder. The default location for the report is C:\MYOBAO\Data\Migration\AO Migration Tax Manager Summary date time.htm.

    3. Once the installation has finished and before you commence working in MYOB AO, review the report and analyse the differences for each client. See Reconciling differences in Tax Manager payment due amounts below.

      The Tax Payment Calculation Reports you printed before you installed MYOB AO will be used to assist in reconciling any difference in the amounts.

    4. The link at the bottom of the screen opens the AO Migration Results Log which includes reasons for some amount discrepancies.

      The AO Migration Results Log is stored in your MYOB AO data folder. The default location for the report is C:\MYOBAO\Data\Migration\AO Migration Results Log date time.htm.

  11. If you migrated your Practice Manager data from AO Classic, review the results of the data migration shown at the bottom of the screen.
    The WIP Summary and Debtors Summary show the:

    • total amount migrated

    • total amount that was in AO Classic

    • difference between the amounts.

    If there are differences in the amounts, you need to:

    1. Click the link at the top of the Practice Manager results table to open the AO Migration WIP & Debtor Summary report listing all clients with a difference in their WIP or Debtors amounts.

    2. Print the report or keep a record of where the report is stored so you can reference it later.

      The AO Migration WIP and Debtors Summary is stored in your MYOB AO data folder. The default location for the report is C:\MYOBAO\Data\Migration\AO Migration WIP & Debtors Summary date time.htm.

    3. Once the installation has finished and before you commence working in MYOB AO, review the report and analyse the differences for each client. See Reconciling differences in WIP and debtor amounts below for more information.

    4. The link at the bottom of the Practice Manager results opens the AO Migration Results Log which includes reasons for some amount discrepancies.

    Note:  The AO Migration Results Log is stored in your MYOB AO data folder. The default location for the report is C:\MYOBAO\Data\Migration\AO Migration Results Log date time.htm.

  12. Click Close.

  13. A dialog appears indicating that you may receive an Open File - Security Warning message when opening MYOB AO. Click OK.

  14. When the MYOB AO installation is complete, click Finish.

    If you’re using a proxy server you don’t need to change the ClientFrameWork.exe.config file in the server Deploy folder see Proxy Server Information.

  15. If you are prompted to restart your computer, make sure the Restart now box is ticked before clicking Finish.

    Restarting each computer after completing the installation will help to avoid any issues using your MYOB software. See AO Espresso: FAQs (merged into Appendix) and AO Espresso: FAQs (merged into Appendix) for more information.

  16. If you disabled your anti-virus / malware programs before you installed MYOB AO, re-enable it before continuing.
  17. If you have a network setup and you are running MYOB AO on more than one computer, perform a Workstation installation to update the local deploy folder.

Installing SQL Server 2014 Service Pack 2 manually

If you received an error that the SQL installation failed:

  1. Locate and run \Software\SQL2014\SQL_2014_SP2_EXPRWT_x86_ENU.exe.

  2. Select Upgrade from SQL Server 2005, SQL Server 2008, SQL Server 2008 R2 or SQL Server 2012:

  3. In Instance to upgrade, select MYOBACCT, then click Next:

  4. The install is complete, click Close to exit.

  5. Run the MYOB AO install.

How do I know if the SQL Server Service Pack has successfully upgraded?
  1. Open SQL Server Management Studio.

  2. Locate the installation folders (for example, IR2012\MYOBDATA)

  3. Click New Query in the top left hand corner
    Type “Select @@Version”

  4. Click Execute.
    You should see ‘SQL Server 2014 (SP2)’ in the Results tab at the bottom of the screen.

Workstation installation

An upgrade can either be done by Auto update when you open MYOB AO or you can run a Manual update.

There are changes to workstation installations as part of this release, refer to workstation install changes for further information.

If you see this screen, automatic workstation updates have been disabled for your practice, so you should run a Manual update on your workstation.

Auto update

If you see this screen when you open MYOB AO, automatic workstation updates are enabled at your practice:

Click Yes to update your workstation automatically.

Click No and you will need to run a Manual update (see below).

Manual update

The workstation updates for all MYOB AO products are combined into one file for this installer. The file is located at \MYOBAO\AOSQL\WorkstationInstall\setup.exe.

After the server installation, a manual workstation update should be performed on all workstations that you want to have access to the latest MYOB AO products, in the following instances:

  • if you’re installing MYOB AO on a new workstation for the first time.

  • if the workstation link is not operational.

  • if the automatic update can’t proceed and you’re prompted to run a manual install.

Instructions

  1. Ensure that you have read the information in General preparations.

  2. Log into the workstation as administrator.

  3. Navigate to \MYOBAO\AOSQL\WorkstationInstall\setup.exe on your server or computer where the server installation was performed.

  4. Double-click setup.exe. The Licence Agreement window opens.

  5. Read and accept the Licence Agreement by selecting the I have read and accept the licence agreement checkbox.

  6. Click Next. The Ready to Install window opens.

  7. Click Install Now. The Installation Progress window opens.

    If you receive the message, If you receive an “Open file security” warning message when opening MYOB Accountants Office Workstation, it is recommended that you restart your computer, click OK.

    On completion, the Installation Complete window opens.

  8. Click Finish. The workstation installation is complete.

Document Manager installation

You’ll be prompted for the following information once the main installation of MYOB AO is complete:

 

If the server you are installing on is your document file store server
  1. Select the Is this server the File Store Server? checkbox, then click Finish

  2. If you have already have Document Manager on your server, you will see this screen. Select Reinstall and click Next.


    The repair is complete.

  3. If you don’t already have it, you will be prompted to install Adobe iFilter version 9.0 x64. Tick the checkbox and click Finish.

     

    The PDF iFilter ensures that PDF documents will be indexed and therefore searchable in Document Manager.

If the server you are installing on is not your document file store server

Install the document file store on a different server:

  1. Deselect the Is this server the File Store Server? checkbox, and click Finish to complete the installation.

  2. Run the Configuration tool on your chosen server from C:\MYOB\Knowledge Management\Document Manager\Server\Utility\DM_Config.exe or C:\MYOBAE\AESQL\Knowledge Management\Document Manager\Server\Utility\DM_Config.exe.

  3. Read and accept the Licence Agreement.

  4. Select the SQL Server instance that contains your MYOB Accountants Enterprise database.

  5. Enter the location and details of the port number for your Document Manager document file store and indexing service.

  6. Follow the onscreen instructions to complete the installation.

  7. If you don’t already have it, you will be prompted to install Adobe iFilter version 9.0 x64. Click Next through the installer screens until it completes.

    The PDF iFilter ensures that PDF documents will be indexed and therefore searchable in Document Manager.

  8. Run a workstation install on each workstation that uses Document Manager. The file is located at C:\MYOBAE\AESQL\WorkstationInstall\setup.exe.
    You’ll only need to do this the very first time. On successive upgrades, the workstation update will occur automatically when you access MYOB AE.

  9. The Adobe PDF iFilter installer will open, click Next through the next few screens until the install is complete.

Adding a new product

You can purchase a new product to add to your existing MYOB Practice Solution to make your business life even easier.

  1. Ensure that you have taken note of the information in Preparing for installation.

  2. Complete the upgrade of your existing MYOB AO product(s).

  3. Run the installation again. You will be directed to a maintenance screen of the installation where a number of options are available.

  4. Select the Add another MYOB product option.

  5. Add and register your new MYOB product.
    Contact MYOB Client Services to obtain your new registration code. You will need to provide Client Services with the:

    • Serial Number shown in the Register MYOB Products screen, and

    • products that are displayed in the Register MYOB Products screen.

  6. Click Finish.

If you are adding Document Manager for the first time
  1. Consider the information in Document Manager preparations.

  2. Complete the upgrade of your existing MYOB AO product(s).

  3. Run the installation again. You will be directed to a maintenance screen of the installation where a number of options are available.

  4. Select to add another MYOB product.

  5. After you add, register and install Document Manager, you will need to:

    1. Identify whether the server you are installing on will be your Document File Store Server.
      On the Install complete screen, there is a Is this server the File Store Server? checkbox.
      If the server you are using is your file store server, ensure that the Is this server the File Store Server? checkbox is selected. Then click the Finish button to continue with the Configuration tool.
      If the server you are using is not your file store server, ensure that the Is this server the File Store Server? checkbox is deselected. Then click the Finish button to complete the installation. Then just run the Configuration tool from C:\MYOBAO\AOSQL\Knowledge Management\Document Manager\Server\Utility\DM_Config.exe on your file store server.

      When you upgrade Document Manager, you will not be prompted for the file store server again unless you are using a different server.

    2. Enter the details of the port number for your Document Manager document file store and indexing service. See Document Manager preparations for details.

  6. Click Finish.
  7. Run a workstation install on each workstation that will be using Document Manager. The file is located at C:\MYOBAO\AOSQL\WorkstationInstall\setup.exe.
