Using the Key Client Attributes Mapping and Data Update wizard

The Key Client Attributes Mapping and Data Update Wizard is used to map, or re-map, the following information between a client’s Main and Extra tabs:

  • DOB

  • (Australia) TFN

  • (Australia) ABN

  • (Australia) ACN

  • (New Zealand) IRD

  • (New Zealand) BALMTH

  1. Select Maintenance > User defined > Key Attributes Mapping on the main menu or Maintenance > Maintenance Map > User defined > Key Attributes Mapping. The Maintenance – Key Attributes Mapping page opens.

  2. Click Update. To map or re-map DOB, TFN, ABN or ACN using the Key Client Attributes Mapping and Data Update wizard.

Step 1 — DOB mapping and data update

Step 1 of the wizard is for mapping the Date of Birth (DOB) field.

  1. Select the Extra field to be mapped to the DOB field from the drop-down.

    If none of your existing Extra fields listed are appropriate, select the last item, Create a new Extra field for DOB. This creates a new field named DOB.

  2. Select whether the data values for the DOB field need to be updated by selecting one of the following options:

  • Update from AE Tax. This option is only available for sites which have AE Tax and which have also installed Practice Manager. This option updates the value in the selected Extra field with the value from the client's tax return.

  • No update required. Select this option if you have been using the selected Extra field for entering the client's Date of Birth and the values require no updating.

  • Recover the DOB from the value previously displayed on the Client’s Main tab. Select this option if you have previously been entering the date of birth into the client’s Main tab and not as an Extra field.

  • Click Next to go to the next step. Step 2, TFN mapping and data update opens.

  • Step 2 — Tax File Number

    Step 2 of the wizard is where you can map the Tax File Number (TFN) field.

    1. Select the appropriate Extra field to be mapped to the TFN field from the drop-down.

      If none of your existing Extra fields listed are appropriate, select the last item, Create a new Extra field for TFN. This creates a new field named TFN.

    2. Select whether the data values for the TFN field need to be updated by selecting one of the following options:

    3. Update from AE Tax. This option updates the selected Extra field from the client's tax return.

    4. No update required. Select this option if you have been using the selected Extra field for entering the client's Tax File Number and the values require no updating.

    5. Recover the TFN from the value previously displayed on the Client’s Main tab. Select this option if you have previously been entering the TFN into the client’s Main tab and not as an Extra field.

    6. Click Next to go to the next step. Step 3, ABN mapping and data update opens.

    Step 3 — ABN mapping and data update

    Step 3 of the wizard enables you to map the Australian Business Number (ABN) field.

    1. Select the most appropriate Extra field to map to the ABN from the drop-down.

      If none of your existing Extra fields listed are appropriate, select the last item, Create a new Extra field for ABN. This creates a new field named ABN.

    2. Select whether the data values for the ABN field need to be updated by selecting one of the following options:

    3. Update from AE Tax. This option updates the selected Extra field from the client's tax return.

    4. No update required. Select this option if you are already using the selected Extra field for entering the client's ABN and the values require no updating.

    5. Recover the ABN from the value previously displayed on the Client’s Main tab. Select this option if you have previously been entering the ABN into the client’s Main tab and not as an Extra field.

    6. Click Next to go to the next step. Step 4, ACN mapping and data update opens.

    Step 4 — ACN mapping and data update

    Step 4 of the wizard enables you to map the Australian Company Number (ACN) field.

    1. Select the most appropriate Extra field to be mapped to the ACN from the drop-down.

      If none of your existing Extra fields listed are appropriate, select the last item, Create a new Extra field for ACN. This creates a new field named ACN.

    2. Select whether the data values for the ACN field need to be updated by selecting one of the following options:

    3. Update from AE Tax. This option is available where AE Tax and Practice Manager are installed. The selected Extra field is updated from the client's tax return.

    4. No update required. Select if you are already using the selected Extra field for entering the client's ACN and the values require no updating.

    5. Click Next to go to the next step. Step 5, Mapping confirmation opens.

    Step 5 — Mapping confirmation

    Step 5 of the wizard enables you to review and confirm the Extra field mappings and the data update options you have selected.

    If you want to change one or more of your selections:

    1. Click the Back button until the first selection you want to change is displayed.

    2. Make your changes and click Next.

    3. Repeat for any other changes.

    4. Click Next until you return to Step 5, Mapping confirmation.

    5. Click Finish to save your changes and close the Key Client Attributes Mapping and Data Update wizard. If you have Practice Manager installed, the AE Tax return data mappings to MYOB AE client data window opens. See Using the Practice Manager Plus Configuration wizard for more information.

    Mapping Key Client Attributes (New Zealand)

    1. Select MaintenanceUser defined > Key Attributes Mapping on the main menu or MaintenanceMaintenance MapUser defined > Key Attributes Mapping. The Maintenance – Key Attributes Mapping page opens.

    2. Click Update to map or re-map DOB, IRD or BALMTH using the Key Client Attributes Mapping and Data Update Wizard. Step 1, DOB mapping and data update opens.

     

    Step 1 — DOB mapping and data update

    Step 1 of the wizard is for mapping the Date of Birth (DOB) field.

    1. Select the Extra field to be mapped to the DOB field from the drop-down.

    6. Click Next to go to the next step. Step 2, IRD mapping and data update opens.

    Step 2 — IRD mapping and data update

    Step 2 of the wizard is where you can map the Inland Revenue Department (IRD) field.

    1. Select the appropriate Extra field to be mapped to the IRD number field from the drop-down.

      If none of your existing Extra fields listed are appropriate, select the last item, Create a new Extra fieldfor IRD. This creates a new field named IRD.

    2. Select whether the data values for the IRD field need to be updated by selecting one of the following options:

    3. Update from AE Tax. This option is available where AE Tax and Practice Manager are installed. The selected Extra field is updated from the client's tax return.

    4. No update required. Select this option if you have been using the selected Extra field for entering the client's IRD number and the values require no updating.

    5. Recover the IRD from the value previously displayed on the Client’s Main tab. Select this option if you have previously been entering the IRD into the client’s Main tab and not as an Extra field.

    6. Click Next to go to the next step. Step 3, BALMTH mapping and data update opens.

    Step 3 — BALMTH mapping and data update

    Step 3 enables you to map the Balance Month (BALMTH) field.

    1. Select the most appropriate Extra field to map to the BALMTH from the drop-down.

      If none of your existing Extra fields listed are appropriate, select the last item, Create a new Extra field for BALMTH. This creates a new field named BALMTH.

    2. Select whether the data values for the BALMTH field need to be updated by selecting one of the following options:

    3. Update from AE Tax. This option is only available for sites which have AE Tax and which have also installed Practice Manager. This option updates the value in the selected Extra field with the value from the client's tax return.

    4. No update required. Select if you are already using the selected Extra field for entering the client's BALMTH and the values require no updating.

    5. Recover the BALMTH from the value previously displayed on the Client’s Main tab. Select this option if you have previously been entering the BALMTH into the client’s Main tab and not as an Extra field.

    6. Click Next to go to the next step. Step 4, Mapping confirmation opens.

    Step 4 — Mapping confirmation

    Step 4 of the wizard is where you review and confirm the Extra field mappings and the data update options you have selected.

    If you want to change one or more of your selections:

    1. Click the Back button until the first selection you want to change is displayed.

    2. Make your changes and click Next.

    3. Repeat for any other changes.

    4. Click Next until you return to Step 4, Mapping confirmation.

    5. Click Finish to save your changes and close the Key Client Attributes Mapping and Data Update wizard. If you have Practice Manager installed, the AE Tax return data mappings to MYOB AE client data window opens. See Using the Practice Manager Plus Configuration wizard for more information.
