Adding job and assignment details

You can add jobs and (AE) assignments to a client using the Job Sheet homepage and Jobs must have a unique name.

When you have the one job type or assignment called Compliance for example and you need to complete a client's Tax return as well as lodge a BAS or IAS on a quarterly basis for the client as well as produce financial statements, we recommend you adopt a standard naming convention throughout the practice i.e. Tax 2018, Accounts 2018 or 2018 BASQ1 (for quarter 1) or 2018 BASM1 (for month 1). Using standard names like these will make it easy to filter for specific jobs to review and then roll forward to create jobs for the next month, quarter or year.

Adding job and assignment details (AE)

Adding job and assignment details is a two step process:

Add assignments and jobs to a client

  1. Select Jobs on the toolbar. The Job Manager page opens.
  2. Click Click here to add a new job on the first row of the Job Sheet table. The Add Assignment Wizard opens, ready for you to follow the steps to add assignments and jobs to the selected client. A list of assignment templates that have been created in the system are displayed. You can use these templates to add assignments to the client.
    The Job field on Step 1 — Create Assignment for Client contains the default name for the job. Job names must be unique.

    Changing the job name by overtyping the default year on Step 1 — Create Assignment for Client only flows through to Step 2 — Job/Schedule Details if the change is made before you select the template name.

    If the template name is selected before you change the job name on Step 1 — Create Assignment for Client, the job name can only be overwritten in Step 2 — Job/Schedule Details.

  3. Select the assignment template from the list in the table. Click the checkboxes adjacent to the template name. New tabs are added for each selected template. These tabs contain the basic information that needs to be captured for a job being added to the client.
  4. Click Next to go to the Job/Schedule Details tab.

Complete job details

  1. Select the Job. It defaults to the current year but can be overwritten. This is a mandatory field.
  2. Select the employee Assigned To the job. This field is initially blank and is non-mandatory. Click the magnifying glass button to open the Find Employees window. Find and select an employee to whom the job will be assigned.
  3. Enter the Budget for the job.
  4. Enter the Target finishing date for the job. This field is used to specify an end date for the job. By default this field is blank. Enter the date in the format dd/mm/yyyy or select it from the drop-down calendar.
  5. Select the appropriate options for the Assignment Responsibility, if required. The Assignment Responsibility is derived from the assignment template. If no data has been provided on the assignment template, the information is derived from the client responsibility team.

    The Assignment Responsibility will need to be updated under the Client > Assignment tab if the job was added at a later date to when the assignment was added. If the assignment is added prior to the job, the Assignment Responsibility fields in Step 2 of 2 in the Add Assignment window become display fields. It's only when you add the assignment and the job at the same time that you can update these fields via the wizard.

  6. Click Finish when you are satisfied with the information supplied. The Client page > Assignment tab displays the newly created assignments and jobs attached to them.
Adding a job (AO)

Creating jobs is a two-step process:

Add a job to a client

  1. Access the Add Job Wizard by clicking Click here to add a new job in the first blank row of the jobs table.
  2. Enter or select the Client.
    If you access the Add Job Wizard from the Client page > Jobs tab, the Client field is automatically filled with the client’s details.
    If accessing the Add Job Wizard from other pages, click the magnifying glass button to open the Find Clients window. Find and select a client. Click OK. The selected client’s details are updated to the Client field.
  3. Select the Year from the drop-down.
  4. Select the job types from the list in the table. Click the adjacent checkboxes for the selected job types. New tabs are added for each selected job type. These tabs contain the basic information that must be captured for a job being added to the client.
  5. Click Next to go to the Job Details tab.

Complete the job details

  1. Select the Year. It defaults to the current year but a different year can be selected from the drop-down. This is a mandatory field.
  2. Select the employee Assigned To the job. This field is initially blank and is non-mandatory. Click the magnifying glass button to open the Find Employees window. Find and select an employee to whom the job will be assigned.
  3. Enter the Budget for the job.
  4. Enter the Target finishing date for the job. This field is used to specify an end date for the job. By default this field is blank. Enter the date in the format dd/mm/yyyy or select it from the drop-down calendar.
  5. Select the appropriate options for the Job Type Responsibility, if required. The Job Type Responsibility is derived from the job type template. If no data has been provided on the job type template, the information is derived from the client responsibility team.
  6. Enter any supporting information about the job in the Notes section.
  7. Click Next or select the next available tab.
  8. Repeat from Step 1 of "Complete the job details" to complete other job details.
  9. Click Finish when you are satisfied with the information supplied. The Client page > Jobs tab displays the newly created job(s) attached to them.
