Stage One—Create a draft bill

The first step after you have analysed a client’s WIP and are ready to create a bill for them, is to generate a draft bill. You can then define the contents and amounts to be billed through the subsequent billing windows.

To create a draft bill

  1. Open the Billing Wizard. See Opening the Billing Wizard.

    If the client you are creating a draft bill for is a child client, a Billing Wizard message window is displayed, asking you to select one of the following options before continuing:

    • Continue billing the selected client. The Billing Wizard opens at Stage One—Create a draft bill and continue to bill the selected client (as defined in the Client page > BillingGroup tab).

    • Bill the parent client. The Billing Wizard opens at Stage One—Create a draft bill and continue to bill the parent of the selected client (as defined in the Client page > BillingGroup tab).

    • Cancel and close the Billing Wizard. the Billing Wizard closes and creating a draft bill is cancelled.

  2. If opening the Billing Wizard from Billing on the toolbar:

    1. Select the Client.

      Use the magnifying glass button to open the Find Clients window. Find and select the client.

    2. Select the Company from the drop-down.

    If opening the Billing Wizard from the Client page, the Client and Company fields are automatically filled.

  3. Select the required Tax Type.

    In AE, you can change the default tax rate which is Standard on the bill from the drop-down in Stage 1 of the Billing Wizard only.

    In AO, the default tax type is Taxable Supplies. Select a different tax type on the bill from the drop-down if required in Stage 1 of the Billing Wizard only.

    This field enables you to override the overall tax status of the bill. For example, whether a bill is entirely tax free or taxable at a particular (usually standard) rate.

    If all bills raised for a particular client should always GST Free for example, you can update the client's default tax rate from the Main tab of their client record in the Tax Type field.

  4. Select the bill template Style from the drop-down.

    Select a different bill template if required from the pre-defined styles in the list. The templates available in this drop-down are Microsoft Word templates stored in a network directory. You are supplied with a number of default templates. In addition, practice-specific templates may be available. These are configured for use by your system administrator in Maintenance > Maintenance Map > Documents > Document Style Defaults.

    This field will only be available if you have the required security rights. See your system administrator about your security level.

  5. Enter the Invoice Number (if applicable).

    Leave the field blank to automatically allocate the next system generated invoice number when the bill is posted.

    Type in a number if you do not want to accept the default invoice number or if you want to change the invoice number sequence.

  6. The Invoice Date defaults to today’s date.
    If you want to change the date, enter the date in the format dd/mm/yyyy or select it from the drop-down calendar.

  7. Click Next to go to Stage Two of the Billing Wizard.

    or

    Click Finish to close the Billing Wizard and save the draft bill.

    If you click Finish, the Billing Main page opens for the client. The draft bill will be listed on Client page > Bills tab should you want to complete the billing at a later date.

Go to Stage Two—Add bill amounts.
