Troubleshooting configuration settings when updating Essentials Accounting to MYOB Business

When you update MYOB AE/AO to version 5.4.50 or later, we will update the configuration from Essentials Accounting to MYOB Business in the Client Accounting tab.

Why are we updating the ledger configuration?

From 22 July 2024, we will stop supporting MYOB Essentials. All customers using MYOB Essentials have now been migrated to MYOB Business.

Any client configured with MYOB Essentials in Client accounting will show an error after 22 July 2024. To avoid this error, update your MYOB AE/AO to or later. During the installation, any clients using MYOB Essentials will have their configuration updated to MYOB Business.

What to do if the ledger configuration fails to update

You’ll see an error at the end of the installation if there is an issue updating the ledger configuration for MYOB Essentials clients.

If this happens, the update was successful but the Essentials accounting ledgers configuration wasn’t updated to MYOB Business.

The installation has been successfully completed. However, updates to the Essentials accounting ledgers configuration were unsuccessful.

To fix this error, you’ll need to find the details of the error and then run a utility file to update the ledger configuration.

If you don’t fix the error, you’ll see an error when clicking the Client Accounting tab for clients who have the MYOB Essentials ledger configured.

You’ll also see this error when opening the Practice reports settings from the Client Accounting menu.

To fix the error

  1. Go to the server and open the EssentialsLedgerUpdateTool.log file located in C:\Program Files(x86)\MYOB\MYOBACCT\EssentialsLedgersUpdateTool

  2. Look in the table below for the Log file description that matches what you see in the log file and follow the relevant instructions in the Fix column.

Any clients who are listed on the log file are no longer your clients or closed, make sure you’ve removed their MYOB Essentials configuration. To do that, go to the Workpapers tab, and select Remove Configuration Details on the Tasks bar.

Re-run the utility manually.

To do this, double click the EssentailsLedgersUpdateTool.exe utility file from C:\Program Files(x86)\MYOB\MYOBACCT\EssentailsLedgersUpdateTool folder.

If it fails again, contact Support.

Updates to Essentials Accounting ledgers configuration details were unsuccessful. Please click <link> for next steps.

  • Failed to update ledger configuration details due to unable to retrieve MYOB Business ledger ID.

  • Failed to update ledger configuration details due to unable to retrieve MYOB Business ledger information.

  • Failed to update ledger configuration details due to a failure in running the update script.

  • Failed to update ledger configuration details due to unexpected error has occurred

  • Failed to update Balance Forward Accounts due to API errors

  • Re-run the utility manually.
    To do this, double click the EssentailsLedgersUpdateTool.exe utility file from C:\Program Files(x86)\MYOB\MYOBACCT\EssentailsLedgersUpdateTool folder.

  • Or if you see this error

    • before July 19 2024, go to the client’s Client Accounting tab, and the configuration can be updated automatically.

    • after July 19 2024, manually configure the MYOB Business ledger.
      Note: You’ll lose the Balance Forward Accounts details.
      To manually configure the ledger

      1. Go to client's Client Accounting > Workpapers tab.

      2. On the TASKS bar, click Edit Configuration Details.

      3. In the File Location field, select the MYOB Business ledger.

      4. Go to the Reports tab and then go back to the Workpapers tab.

      5. Open the Edit Configuration Details window and Save again

If you don’t want to lose your Balance Forward accounts, and need to configure the ledger, contact Support.

Failed to update Balance Forward Accounts due to the following Accounts missing in the migrated MYOB Business ledger xxxxx (where xxxx is the account number).

  1. Open the MYOB Business ledger and add the accounts displayed in the log

  2. Re-run the utility manually.
    To do this, double click the EssentailsLedgersUpdateTool.exe utility file from C:\Program Files(x86)\MYOB\MYOBACCT\EssentailsLedgersUpdateTool folder.

Failed to update Balance Forward Accounts due to the following Accounts missing in the migrated MYOB Business ledger xxxx (where xxxx is the account number)

If you see any accounts you can't recognise, please contact support to remove them.

  1. If there are Account numbers you can recognise, open the MYOB Business ledger and add the accounts first.

  2. Contact support to remove the un-recognised accounts for this client.

  3. Re-run the utility manually.
    To do this, double click the EssentailsLedgersUpdateTool.exe utility file from C:\Program Files(x86)\MYOB\MYOBACCT\EssentailsLedgersUpdateTool folder.
