Error: "Deletion of this contact failed"

In MYOB Document Manager (DM) when trying to delete a contact the following error message may appear:

"Deletion of this contact failed.  The DELETE statement conflicted with the REFERENCE constraint "FK_Contact_DM_Document_Contact".  The conflict occured in database, table "dbo.DM_Document", column 'ContactID'. Transaction count after EXECUTE indicates that a COMMIT or ROLLBACK TRANSACTION statement is missing. Previous count = 1, current count = 0.  This statement has been terminated".

The error occurs because the client may have some documents associated to it which may have been deleted. 

As deleting the documents in Document Manager is considered a soft delete, (i.e. so that you can retrieve documents that are accidently deleted), when this is done, an entry still remains in the backend tables.  This means that we are unable to delete the contact as the table still thinks it has documents linked to it.

To delete this client you will need to first Restoring a deleted document then, move them to a Test contact in DM. Then you will be able to delete the client.

Moving the documents to a Test Contact.

To move these documents to a Test Contact use the steps below depending on the status of the document:

Document status is Complete/ApprovedDocument status is In Progress
  1. Create a new version of this document.

    For further instructions refer to Versioning documents

  2. Then follow steps below for documents with the status  of In Progress.
  1. Right click on the document and select Properties.
  2. Click the ellipsis […] button on the Contact field.
  3. Search and select the new contact/client and click OK.
  4. Click OK.

When the above steps are followed all versions will appear under the new client/contact.  Then you can delete these documents once they appear in the Test Contact.
